Appointment Confirmations

Each day, you will need to confirm the next days appointments. Check each cash appointment to make sure we have an intake form no older than 18 months. If the intake form is 18+ months old, send a new one to the client. Verify that the client account has a card on file. If not, create a popup note that says "Add CC". Call any yellow or blue appointments to confirm appointment date, time and therapist providing the service. If no answer, leave a message and make a note that says, "LM for mm/dd appt".

For insurance appointments, in addition to the above steps, check to make sure the correct copay is being charged for the appointment and the referral on file is current. If a new referral is needed, email a reminder to the client and add a popup note that says, "Need new Rx. Emailed reminder." If this not is already in the file, resend the reminder email and add a general note, "Emailed Rx reminder."

Script of leaving an appointment confirmation message:

"Hello, this is Lake Stevens Massage calling to confirm an appointment for (client's first name) tomorrow (month and date: example April 22nd) at (time of appointment) with (first name of therapist). If you need to cancel, we do require 24 hour notice or if you have any questions, please call 425-334-9137. Otherwise, (therapist first name) will see you tomorrow (morning, afternoon, evening) at (appointment time). Thank you very much. Goodbye."

Appointment confirmations need to be completed before noon.
